Refund & cancellation policy
This policy applies to paid engagements with Meadowcore Buyer Trends Co., Ltd. for custom buyer trend reports, quarterly briefings, retail channel walkthroughs, and trade buyer interview rounds. It does not cover physical goods or software subscriptions, which we do not sell on this site.
Eligibility
Refunds are considered when work has not started, when we cancel an engagement we cannot staff, or when a written statement of work expressly allows a partial refund at a defined milestone.
Timeframe to request
Send refund requests within 14 days of the invoice date or within 7 days of a missed delivery date stated in the statement of work, whichever is later for the issue you raise.
Full refunds
A full refund of fees paid applies if we cancel before kick-off, or if you cancel in writing before we begin desk review or fieldwork and no non-refundable third-party costs were incurred.
Partial refunds
If you cancel after kick-off, we may retain fees for completed stages (briefing, interviews already conducted, store walks already completed) and refund the unused remainder. Draft reports already delivered are non-refundable for that stage.
Non-refundable items
- Completed interview rounds and delivered synthesis notes
- Completed retail walkthrough packs
- Quarterly briefings already delivered for that quarter
- Agreed travel or sample-purchase costs already spent with your approval
Deposits
Custom reports typically require a deposit stated in the fee agreement. Deposits become non-refundable once fieldwork is scheduled, except when we cancel.
Rescheduling
Walkthrough dates and briefing calls may be rescheduled once without charge if you give at least three business days’ notice. Later changes may incur a rescheduling fee reflecting staff time already blocked.
No-shows
If a client representative fails to join an agreed accompanied walkthrough or findings call without notice, that session is treated as delivered for fee purposes. We will offer one replacement slot within ten business days.
Work already started
Once interviews are booked or store routes confirmed, cancellation shifts to the partial-refund rules above.
Process & timing
Email hello@utilitymeadowcore.click with your invoice number and reason. Approved refunds are returned by the original payment method within 14 business days where the payment provider allows.
